How to Generate Certificates & Invoices from Zoho CRM (No Code)

Turn your Zoho CRM and Creator records into branded certificates, invoices, ID cards and banners automatically — no design skills, no scripting. Here's how, plus tips for doing it at scale.

If your team lives in Zoho, you already have the data — contacts, deals, form submissions, course completions. What you probably don't have is a fast way to turn that data into finished documents. Copy a name here, paste an amount there, export a PDF, repeat a hundred times. It's the kind of work that quietly eats hours every week.

PikFinder's Business Hub removes that step. You connect Zoho once, pick a template, and generate certificates, invoices, ID cards or marketing banners straight from your records — no design tools and no Deluge scripting required.

Why manual document creation doesn't scale

A single certificate takes two minutes. A cohort of 300 students takes all afternoon, and every one is a chance to fumble a name or a date. The same is true for invoices tied to deals, ID cards for new hires, or "welcome" graphics for every fresh CRM contact. The task is repetitive, template-driven, and data-backed — exactly the kind of thing software should handle.

The trick is connecting three things that usually live apart: your data (Zoho), a design (the template), and a renderer that fills one into the other. That's what the Business Hub does.

Step 1: Pick a template

Open the Business Hub and choose a starting point — a certificate of achievement, an invoice, a business card, or a sale banner. Each template is a real design with clearly labelled fields, so you can see exactly what will be filled in. Prefer your own look? Build any design in the Creator Studio using `{{placeholders}}` in the text, and it becomes a fillable template too.

Step 2: Fill it in — or connect Zoho

You can use a template by hand immediately: type into the fields and watch the preview update live, then download as SVG, PNG or PDF. That alone is useful for one-offs.

The real time-saver is connecting Zoho. In the Connections tab, click *Connect* on Zoho CRM or Zoho Creator and approve the consent screen. A few things worth knowing about how that works:

  • PikFinder never sees your Zoho password — you authorize on Zoho's own site.
  • Only read permissions are requested, and your access token is encrypted and stored server-side. Your browser never handles it.
  • You can disconnect at any time, which revokes and deletes the token.

Once connected, a Fill from Zoho button appears above the template.

Step 3: Map fields once (it remembers)

Click *Fill from Zoho*, choose a module (say, Contacts), and PikFinder auto-matches your template's fields to your Zoho fields — "Recipient name" to `Full_Name`, "Date" to a date field, and so on. Review the mapping, fix anything that's off, and it's saved for next time. Pick a record and the template fills instantly.

Step 4: Generate in bulk

Need a document for everyone, not just one person? Select multiple records, choose a format, and PikFinder renders one file per record and downloads them together as a single zip, named by record. A certificate per student, an invoice per deal, a card per employee — generated in one pass.

Best practices for document automation

A few habits make this reliable at scale:

  • Design for the longest value. Leave room for long names and large amounts so nothing clips. Center-aligned text handles variable lengths gracefully.
  • Map deliberately. Spend thirty seconds confirming the auto-map the first time; it's reused forever after.
  • Keep a Brand Kit. Consistent colours and a logo across every document make automated output look intentional, not templated.
  • Export at 2× for print. For certificates and cards that may be printed, higher-resolution exports keep text crisp.
  • Start read-only. Generate *from* your data before you automate writing anything back — it's lower risk and immediately useful.

Where this fits in your stack

Because the Business Hub reads from Zoho and renders on demand, it slots in next to the rest of your workflow rather than replacing it. Marketing can spin up on-brand graphics for new leads; operations can issue invoices from closed deals; training teams can send certificates the moment a course is completed. And if you ever need to touch the raw file, you can open the design in the Creator Studio or edit an exported PDF in the PDF editor.

The goal isn't another tool to babysit — it's to make the documents your business already sends every day generate themselves.
